This school is based in Zurich, Switzerland and is looking for an HR Onboarding & Offboarding Specialist.

The Inter-Community School Zurich (ICS), the oldest international school in the Greater Zurich Area, is renowned for the community it has fostered over the past six decades. Position Summary: The HR Onboarding & Offboarding Specialist will play a crucial role in ensuring a seamless onboarding experience for new employees and supporting departing staff. This role involves coordinating onboarding activities, preparing necessary paperwork, conducting orientations, and creating personalized onboarding plans. The specialist will be responsible for fostering a welcoming and engaging culture, ensuring new staff feel supported and integrated into the ICS community even before their arrival in Switzerland.

Key Responsibilities:
Role:
  • Build a positive culture and engage staff prior to their arrival at the school.
  • Implement best practices by providing timely, clear, and relevant information through well-defined onboarding and offboarding processes.
  • Actively participate in policy development to clearly articulate onboarding and offboarding procedures.
  • Increase transparency by providing HR policy guidance and training for staff as needed.
  • Review practices to enhance the efficiency of the HR team.
  • Suggest new HR strategies and improvements in HR systems based on employee feedback.

 

Responsibilities:
  • Coordinate and schedule new employee onboarding activities, including orientations, training, social events, and team introductions.
  • Prepare new employee paperwork, including contracts, forms, and benefit enrollments.
  • Create and maintain personalized onboarding plans for each new employee.
  • Assist new employees with completing required onboarding documentation and processes.
  • Serve as the main point of contact for new employees during their onboarding journey, answering questions and providing support.
  • Collaborate with department heads to ensure new employees are properly onboarded and have the necessary resources to succeed.
  • Develop and implement onboarding policies and procedures to streamline the onboarding process.
  • Create clear policies and employee handbooks explaining school operations and processes.
  • Craft and send emails with information about the school and the employee’s position, including work schedules, dress code, and expectations.
  • Prepare onboarding kits and arrival packages.
  • Welcome new employees upon their arrival, giving them a tour of the school and local area.
  • Introduce team members and organize question-and-answer sessions.
  • Gather and process paperwork, like contracts and non-disclosure agreements.
  • Coordinate presentations and engage with team members to enhance the onboarding experience.
  • Inform employees about their first tasks, such as which programs to download and how to activate their accounts.
  • Ensure new hires have technical assistance to properly set up their hardware and software.
  • Distribute manuals, passwords, and guidelines as needed.
  • Address new hires’ queries regarding their contracts and payroll.
  • Prepare all offboarding paperwork and support departing staff, ensuring housing, immigration, and employment obligations are known and met.

 

Qualifications and Experience:
  • Proven experience as an HR Generalist or in a similar role within the education management industry.
  • In-depth knowledge of HR policies, procedures, and best practices.
  • Strong understanding of employment laws and regulations.
  • Experience in a customer service role.
  • Excellent English communication skills.
