This school is based in Al Wakrah, Qatar and is looking for an Administrative Secretary for Curriculum, Instruction, and Innovation department.

Principal Role: The Administrative Secretary for the Curriculum, Instruction, and Innovation Department at Vision International School provides essential administrative support to ensure the efficient operation of the department. This role involves a wide range of administrative tasks, including managing schedules, coordinating meetings, handling communications, and maintaining records. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced educational environment.

Key Responsibilities:
Administrative Support:
  • Provide comprehensive administrative support to the Director of Curriculum, Instruction, and Innovation and other department staff.
  • Manage and organize the Director’s calendar, schedule meetings, and coordinate appointments.
  • Prepare and distribute meeting agendas, minutes, and other relevant documents.
  • Handle incoming and outgoing communications, including emails, phone calls, and correspondence.

 

Document Management:
  • Maintain accurate and up-to-date records and files for the department.
  • Prepare, proofread, and edit documents, reports, presentations, and other materials as required.
  • Assist in the development and distribution of curriculum materials and instructional resources.

 

Event Coordination:
  • Organize and coordinate departmental events, workshops, and professional development sessions.
  • Assist with logistics, including booking venues, arranging catering, and preparing materials.
  • Support the planning and execution of special projects and initiatives within the department.

 

Data Management:
  • Collect, compile, and analyze data related to curriculum, instruction, and innovation initiatives.
  • Prepare reports and presentations based on data findings for departmental use and school-wide dissemination.
  • Maintain databases and ensure data accuracy and integrity.

 

Communication and Collaboration:
  • Serve as a liaison between the department and other school staff, parents, and external stakeholders.
  • Facilitate effective communication within the department and across the school.
  • Collaborate with other administrative staff to support the overall functioning of the school.

 

General Duties:
  • Ensure compliance with school policies and procedures.
  • Handle confidential and sensitive information with discretion.
  • Perform other duties as assigned by the Director of Curriculum, Instruction, and Innovation.

 

Required Candidate Profile:
Qualifications and Experience:
  • Bachelor’s degree in Business Administration, Education, or a related field preferred.
  • Minimum of 3 years of administrative experience, preferably in an educational setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
